The 5 Phases of Our Greenhouse Projects

The project management framework that keeps us on top of our game.

“To achieve great things, two things are needed: a plan and not quite enough time.” – Leonard Bernstein

At any given time we have hundreds of people working on dozens of greenhouses. For all these projects, the stakes are high and timelines are tight. Without our tried and true project management structures, things could go wrong very quickly and jeopardise our 30-year reputation as Africa’s leading greenhouse engineers.

Keep reading for an inside look at our approach to project management, detailing five phases that ensure projects run smoothly and successfully. By understanding our methods, you can see why effective project management is crucial to what we do, and how it benefits agricultural initiatives.

The Critical Role of Project Management

Project management is the systematic application of knowledge, skills, tools, and techniques to meet the needs and expectations of all stakeholders. Poor project management can lead to delays and cost overruns, which are particularly detrimental in high-stakes greenhouse projects where timelines and budgets are tight.

That’s why we work according to the structure and guidance of Netafim’s Project Management Office (PMO). This approach ensures that every project goes through the logical process of defining and executing goals at each stage.

The Five Phases of Project Management

1. Initiation

The Initiation phase defines project goals and establishes feasibility. First, we develop a business case, create a project charter, and identify stakeholders. Early involvement of stakeholders ensures alignment on expectations and success criteria. This phase sets the foundation for the project and helps us tailor our approach and build to each unique need.

2. Planning

In the Planning phase, we dive into the specifics: defining the project scope, creating detailed task lists, estimating budgets, and developing timelines. We also plan according to weather windows for planting seasons. This phase is about creating comprehensive project plans, including the Work Breakdown Structure (WBS). Effective resource planning, risk management, and communication strategies are essential. Our approach includes iterative planning so that we can continuously refine and adjust, based on new information and stakeholder feedback.

3. Execution

During the Execution phase, the project plan comes to life. We start and carry out construction, manage resources and ensure the quality meets our high standards. We utilise advanced project management tools and software to track progress and facilitate communication, ensuring that every aspect of the project is meticulously managed.

4. Monitoring and Control

During execution, we engage in Monitoring and Control to track performance and make necessary adjustments. This involves monitoring scope, schedules, and budgets, identifying risks, and implementing mitigation strategies. Regular reporting keeps stakeholders informed and allows for timely interventions. Vegtech Netafim strongly emphasises proactive monitoring to quickly identify and address any issues that may arise.

5. Closure

This phase is about wrapping up and handing over. We finalise project activities, ensure deliverables are completed, and obtain formal acceptance. Something we pride ourselves on is our extensive knowledge sharing and a comprehensive handover for the teams who will be using our greenhouses. For internal benefit, we also document lessons learned and conduct project retrospectives to improve future projects.
